Privacy Policy

Dudley Catalog Prep · Effective date: September 25, 2026

The short version

Dudley Development, LLC operates Dudley Catalog Prep ("Catalog Prep"), a service that turns supplier catalog files into clean import files for an online store. You use it through an AI assistant that connects to it, such as ChatGPT, Claude, Grok, or Meta Muse. We keep the files you upload and the files we produce only long enough to do the job (at most 7 days), you can delete them sooner, and deleting always needs your own approval. We don't sell your data, we don't show ads, we don't run analytics, and no AI model processes your files on our side.

Catalog Prep is currently a prototype for sample data. Please don't upload real customer, personal, or confidential business data while it is a prototype.

Signing in

When an assistant connects to Catalog Prep, you sign in through our sign-in provider, Auth0 (Okta). Auth0 handles your email address, password or passkey, and sign-in times. Catalog Prep itself does not store your email address: it receives a verified account identifier and keeps only a keyed hash of it, plus the account's permissions. Each connected assistant gets its own access that you can end at any time (see "Disconnecting assistants" below).

Files you upload and files we produce

  • What: the supplier file and store template you upload, and the results we produce from them (an import file, a list of fields we could not fill in, a summary, and a manifest with file checksums).
  • How they are processed: by a fixed set of rules. No AI model reads or processes your files on our side, and we never use your files to train models.
  • Where: file contents are stored encrypted in Amazon Web Services (S3, United States, us-west-2). Job details such as status, sizes, and checksums are stored in a database hosted by Railway.
  • How long: a finished job's files are kept for 7 days and then removed automatically, unless you delete them sooner.

Deleting your files

You can ask your assistant to delete a job at any time. Deletion is permanent, so it always needs your own approval: the assistant gives you a link, and you sign in with a passkey and approve in your browser. Deletion removes the uploaded files, the processing attempts, and the results. A small receipt remains that records that the job existed and was deleted; it contains no file contents. Copies held in our storage providers' own backup systems may persist for a limited time until those backups expire.

Activity records

For security and accountability we keep a record of actions taken on your account, such as uploading a file, preparing a job, reading a result, approving a deletion, or disconnecting assistants. Each record holds the action, the time, the outcome, a request identifier, keyed hashes of your account and of the connecting app, and the name of the assistant as that assistant reports it. These records contain no file contents.

AI assistants

When you use Catalog Prep through an assistant, that assistant's provider (for example OpenAI, Anthropic, xAI, or Meta) receives what you share with it and the results Catalog Prep returns to it, including the contents of any result file you ask it to read. The provider handles that information under its own terms and privacy policy, not this one.

Who we share data with

We use these service providers only to run Catalog Prep:

  • Auth0 (Okta): sign-in and account permissions.
  • Amazon Web Services: encrypted file storage.
  • Railway: hosting and the job database.
  • Cloudflare: domain name service for mcp.dudleyapps.com.

We don't sell your data, share it for advertising, or combine it with data from our other apps. We may disclose information if the law requires it.

Disconnecting assistants

You can cut off every assistant at once from thedisconnect page. Tokens they already hold stop working immediately, and an assistant can reconnect only after you sign in again. You can also remove Catalog Prep from an assistant's own connector settings.

Security

Connections use HTTPS/TLS, stored files are encrypted, each account can reach only its own jobs, and deletions require a fresh passkey sign-in. No system is perfectly secure, but we take reasonable measures to protect your data.

Children

Catalog Prep is a business tool and is not directed at children. We do not knowingly collect personal information from anyone under 18.

Changes

If this policy changes materially, the new version will be posted at this URL with an updated date above.
